Activity Tennis Academy operates tennis coaching, court hire, social play, and tournaments at Parklands Sports Club, Gate B, Nairobi, Kenya. This policy explains what personal information we collect through activitytennis.co.ke, why we collect it, and what we do with it.

When you make a booking or create an account we collect:

• Your full name, email address, and phone number.
• The details of what you booked — programme or court, date, time, duration, and any coach preference.
• Your current playing level, where a coaching booking asks for it.
• For junior bookings: the participant's name and age, guardian contact details, and any medical or allergy information you choose to share so our coaches can keep your child safe.
• Any notes or special requests you add to a booking.

We do not ask for, receive, or store your M-Pesa PIN, card number, or any other payment credential. Those are entered directly with our payment processor.

• To confirm, schedule, and deliver the bookings you make.
• To send you booking confirmations, reminders, and changes by email and SMS.
• To let our coaches know who is attending a session and any relevant medical information.
• To process payments and issue receipts.
• To respond when you contact us.
• To keep records required for our own accounting and tax obligations.

We do not sell your personal information, and we do not share it for third-party advertising.

Payments are processed by Pesapal, a licensed payment aggregator. When you pay, you are redirected to Pesapal's own secure page to complete the transaction using M-Pesa, Airtel Money, Visa, or Mastercard.

Pesapal handles your payment credentials directly under its own privacy policy. We receive only confirmation of whether a payment succeeded, the amount, the method used, and a reference code — never the underlying card or mobile money details.

We sign you in using a one-time code sent to your email address, so you do not need a password. Once you are signed in, your session token is stored in your own browser's local storage so you stay signed in between visits. Clearing your browser data signs you out.

• Pesapal, to take payment.
• Our SMS provider, to deliver booking notifications to your phone.
• Coaches assigned to your session, who see the attendee details they need to run it.
• Parklands Sports Club, where venue access or court allocation requires it.
• Tournament organisers and sanctioning bodies, where you enter a tournament that they run.
• Professional advisers, regulators, or law enforcement where we are legally required to disclose.

We keep booking and payment records for as long as we need them to run the club and to meet our accounting and tax obligations. [TO CONFIRM: specific retention period for booking records, account records, and junior medical information.]

You can ask us to delete your account at any time. Some records must be retained where the law requires it.

Under the Kenya Data Protection Act, 2019 you have the right to:

• Ask what personal information we hold about you and get a copy of it.
• Ask us to correct information that is wrong or incomplete.
• Ask us to delete your information, subject to records we must keep by law.
• Object to how we are using your information, or ask us to restrict it.
• Withdraw consent to marketing messages at any time.
• Complain to the Office of the Data Protection Commissioner.

Junior bookings are made by a parent or guardian, who provides the participant's details and consents to us holding them. We collect only what our coaches need to run sessions safely, and we share medical information solely with the coaches supervising your child.

We may update this policy as our services change. The date at the top of this page shows when it was last revised. Material changes affecting how we use your information will be communicated to account holders by email.
